Letter of Permission

University of ¶¡ÏãÔ°AV students wishing to take courses at other recognized colleges and universities for transfer of credit to their degree program must apply for a Letter of Permission (LOP). The LOP must be obtained prior to a student registering for courses at another institution.

If you require payment via a method other than MasterCard or Visa, please contact Student Central (studentcentral@uwinnipeg.ca) or you can now drop off your application package in person at Student Central

Please note that during this time, we will accept an email from the Departmental Chair for approval sent via email directly to studentrecords@uwinnipeg.ca in lieu of a signature.  

Instructions 

The Letter of Permission (LOP) must be obtained prior to a student registering for courses at another institution. Retroactive LOPs will only be allowed through an appeal process, with the exception of students in the Explore Program.  The student must submit a written explanation to the Student Records Office and these will be considered on a case-by-case basis. 

Who is Eligible?
To be eligible for a LOP a student must:

  • Be a current student, registered within the last year (or have completed a continuance);
  • Have completed a minimum of 18 credit hours at The University of ¶¡ÏãÔ°AV at the time of application (including transfer students, courses cannot be in progress);
  • Be on Regular Status (academic standing);
  • Have a GPA of at least 2.0 (C);
  • Be pursuing a degree or pre-professional program at The University of ¶¡ÏãÔ°AV;
  • Be requesting to take courses acceptable for credit in a University of ¶¡ÏãÔ°AV program;
  • Have obtained written permissions from the appropriate department chairperson for courses listed which are to be used for their major or honours program;
  • Have the University equivalent of the host institution prerequisite.

How Many Courses Can I Take?
Students may transfer 30 credit hours of course work taken on a LOP for degree credit. It is the student's responsibility to ensure that any courses they register for meet their program requirements at The University of ¶¡ÏãÔ°AV if they are wishing to receive credit.

Students may not exceed the maximum course load permitted by The University of ¶¡ÏãÔ°AV per term. Written permission from Academic Advising must be obtained to take a course overload.

How Do I Apply?
A separate application form is required for each term and institution, regardless of the number of courses being requested.

Requests to take courses on a LOP that are offered at The University of ¶¡ÏãÔ°AV will be considered if the student submits a valid written explanation as to why they are making the request, for example: course scheduling conflicts, work/family obligations, etc. Students must provide a written explanation for the LOP request at the time of application.

Application Fee
Students applying for a LOP will be required to pay a $70.00 application fee per term.

A student may only request to take a maximum of 15 credit hours per term on a LOP application. If a student requests to take more than 15 credit hours, the student must pay $5.00 for each additional 3 credit hours. 

To make any additions or substitutions to a previously submitted LOP application, the student must submit a new application and pay the application fee.

Deadlines
Students applying for a LOP must complete and submit the required application form by the specified deadline for each term. Note:  Late application will be considered on a case-by-case basis with a letter of explanation.

  • Fall Term – July 15
  • Winter Term – November 15
  • Spring Term – March 15

How Long Does it Take?
A minimum of 15 working days is required to process a request for a LOP.

What Are My Responsibilities as a Student?
1. Submit the LOP Application and application fee.

2. Provide the following information for each course to be completed at the Host Institution:

  • Department
  • Course Number
  • Title
  • Credit Hours
  • Course Descriptions for host institutions within Manitoba* or
  • Course Syllabi for host institutions outside Manitoba

*Students may be required to provide course syllabi for courses within Manitoba if no transfer equivalency has been previously determined.

3. Students must obtain written permission from the appropriate department chairperson for courses listed which are to be used for their major or honours program

4. Students who do not have the pre-requisite course(s) required to register for the requested course(s) must obtain written permission from the appropriate department Chairperson of The University of ¶¡ÏãÔ°AV and/or the appropriate department Chairperson of the Host Institution

5. Students must apply for admission to the Host Institution.

Continuance
Students who have not registered at The University of ¶¡ÏãÔ°AV for one or more years must complete and submit an Application for Continuance. The continuance must be granted before the LOP request will be considered.

What Happens After I Take the Course(s)?
It is the student's responsibility to ensure that an official transcript is forwarded to the Student Records Office indicating all final grades attained in the course(s) taken on a LOP.  If the student did not register for courses or dropped courses approved on their LOP, the student must provide an official letter of non-enrollment from the Host Institution. 

Official transcript of grades for courses taken on a LOP are due as follows:

  • Fall Term (September to December) – January 15
  • Winter Term (January to April) – June 15
  • Spring Term (May to August) – September 15

If you are applying to graduate, the official transcript of grades for courses taken on a LOP is due as follows:

  • February Convocation – First week of January
  • June Convocation – May 1
  • October Convocation – September 1

Failure to provide an official transcript from the Host Institution by the specified term deadline will result in an ‘F’ grade for all courses approved on the LOP. A subsequent request for a LOP may be denied if the student did not provide an official transcript for courses taken on a previous LOP.

Graduating students who enrol at another institution in their final year of a degree program must provide official transcripts from the Host Institution by the deadline indicated on the Application to Graduate.

Letter of Permission may not be granted if:

  • There is an active hold on the student’s record;
  • The courses requested are offered at The University of ¶¡ÏãÔ°AV;
  • The student has not registered at The University of ¶¡ÏãÔ°AV for one or more years;
  • The student does not have the pre-requisite courses required to register for the requested course(s);
  • The student has not provided an official transcript for course work taken on a previously approved Letter of Permission.
  • The student plans to take a course(s) at a non-accredited university or college (including RRC Polytech and Assiniboine Community College).
